Club Members Responsibilities to the Sponsor

Recognize the advisor as an integral part of the club/organization:

  • The sponsor’s schedule should be considered when determining meeting dates/times.
  • A club sponsor must be present at all club meetings and club events. If the sponsor cannot be present, another certified staff member can be designated as a substitute.
  • The sponsor should be apprised and available for club/organization meetings and functions/events.
  • Keep the sponsor fully informed of all business relating to the club and the progress of plans for functions/events, etc. We encourage the President of the club to meet regularly with the advisor to support this practice.
  • Utilize the sponsor’s background and experience. Seek the sponsor’s advice on all matters relating to the club/organization.
  • Club officers/members are expected to run meetings using an agenda, and sponsors are present to maintain climate, culture, and safety.
  • Meetings should be held using the advisor’s ASU Prep Digital zoom room.
  • All club members will adhere to the ASU Prep Digital student code of conduct found in the school handbook. Behavior issues will be handled by the school principal. Depending on the area of concern, students may be removed from participating in the club and /or participating in future clubs.

The most successful clubs/organizations have an active, strong alliance with the sponsors.

If a student has an idea about starting a new club, they must understand all of the necessary steps to doing so. Read and understand the following club guidelines before starting a club as every club must have gone through the approval process before they begin.

Students are encouraged to create and formally establish student groups of interest as officially recognized clubs. A national organization often has specific guidelines for its chapters on matters such as membership requirements. Please be sure to review and include these details in your application.

Applying for a new club does not guarantee club approval for the new school year. New clubs depend on the completion of the application process, current need, available funds to sponsor new clubs and student interest.

Applications for new clubs open on May 1 of each school year. All applications should be submitted by May 31 to be considered. Click here to learn more and access the application.
